Create and send a campaign in Outreach

Use Outreach for permission-based marketing campaigns. A campaign combines a published email template with an audience, a sending address, and a delivery time. Yukon checks the audience before delivery so suppressed, duplicate, and incomplete records are not treated as ready recipients.

Check the delivery mode

Open Outreach and look at the status beside the page title.

When Yukon Send is active, you can create and deliver campaigns in Outreach. When Mailchimp is active, Yukon keeps Contacts and audience synchronization available, but campaign creation and delivery remain in Mailchimp. Use the Open Mailchimp action when it appears.

Personal one-to-one email remains separate from marketing campaigns. Send it from the relevant Lead, Contact, Organization, or Opportunity instead.

Prepare a template

  1. Open the Templates tab.
  2. Select New template, or open an existing template.
  3. Choose a Yukon starter layout or a ready-made layout.
  4. Enter a Template name, Subject, and Preview text.
  5. Select an active Subscription topic.
  6. Build the message in the designer. Add the plain-text alternative as well.
  7. Use Send test to check the message in a real inbox.
  8. Select Publish version when the content is ready for campaigns.

Campaigns use published template versions. Editing a later template version does not silently rewrite a campaign that has already been reviewed.

Use merge fields only where the message still makes sense when a Contact value is blank. A recipient's first name, company name, unsubscribe link, and preference-centre link are common examples.

Create the campaign

  1. Open the Campaigns tab.
  2. Select New campaign.
  3. Enter a clear Campaign name.
  4. Select a published template.
  5. Leave Subject override blank to use the template subject, or enter a campaign-specific subject.
  6. Check the From address. It must belong to the verified sending domain.
  7. Choose one or more Audience sources.
  8. For company audiences, choose Primary contacts only or All company contacts.
  9. Select the permission confirmation checkbox.
  10. Select Save draft if someone else needs to review the setup.

Audience sources can include the groups, tags, saved views, contacts, or organizations made available to your workspace. Your permissions determine which sources you can use.

Review before delivery

Select Review audience. Yukon resolves the sources, removes duplicate email addresses, checks missing email addresses, and applies current suppression rules.

Read the Frozen audience section before delivery. Review these counts:

  • Eligible: recipients who can receive the campaign at review time.
  • Suppressed: recipients blocked by an opt-out, bounce, complaint, or other suppression.
  • Missing email: selected records without an eligible email address.
  • Duplicates removed: addresses that appeared more than once in the sources.
  • Companies without contacts: selected organizations that did not resolve to a permitted contact under the chosen company-recipient rule.

The reviewed recipient list is frozen for this campaign. Later changes to a group, tag, view, Contact, or Organization do not change it. Yukon checks for new suppressions again immediately before queueing.

If the review is wrong, go back to the draft, correct the audience or records, and review it again. Do not work around a suppression by creating a second Contact.

Queue or schedule the campaign

When the audience is ready, choose Queue campaign to start delivery or choose Schedule campaign and enter a delivery time.

A campaign can show Ready, Scheduled, Queued, Sending, Paused, Failed, Sent, or Cancelled as delivery progresses. The campaign row shows eligible and suppressed counts, sent and failed counts, and its scheduled or updated time.

Messages already placed in the email queue cannot be recalled. For an active campaign, Pause delivery stops the next delivery batch, while Cancel remaining permanently stops recipients that have not been queued. A paused campaign can be resumed. A failed campaign can offer Retry remaining.

A suppression is not proof of consent. Removing a suppression only makes an address eligible when the audience and permission basis are valid in their own right.

Use the Suppressions tab to review blocks. A permitted manager can select Suppress email, enter the evidence for the request, or restore a suppression with a reason. Do not send marketing email to a person who has asked not to receive it.

If something is unavailable

  • No New campaign button means the workspace may be using Mailchimp or your account may not have campaign permission.
  • No published templates means publish a template before building the campaign.
  • No audience sources means create or request a permitted Group, tag, saved view, or record selection.
  • A campaign that cannot queue may have no eligible recipients, an invalid sender, an incomplete permission confirmation, or a delivery configuration issue.
